02 / Process

Four steps, and each one leaves a document behind.

A mandate runs as a ledger, not a conversation. You keep every record we produce, including the candidates that failed and the reason recorded next to them.

  1. 01

    Brief and written fee quote

We write your brief: model or class, year range, target specification, city hub, and inspection budget. Fees are quoted in writing before any work begins. See what the brief document holds.

  2. 02

    Shortlist and comparison matrix

Three to six candidates, each with specification deltas, mileage, asking price, and a seller responsiveness score from the first call to the last reply.

  3. 03

    Independent technical inspection

The inspector is a third party, not employed by us, paid a flat fee whatever the outcome, and the report belongs to you. How inspector independence works.

  4. 04

    Seller coordination and handover

We negotiate, chase documents, and stage delivery. Failed checks stay in your file with the reason recorded. Covered hubs and the fee model.

02 / Brief and matrix

The brief is written before any seller is contacted. The matrix records each claim with its source.

Two documents carry a mandate at pixelorradesign.com. The brief fixes what you are buying and what you will refuse. The comparison matrix turns every seller offer into comparable, sourced rows. Fees are quoted in writing before work begins.

What the written brief contains

Issued as a dated document and referenced by number in every later note.
Brief referenceSequential ID and issue date, so each candidate, offer and report points back to one signed version.
Vehicle targetMake, model, generation and year band, or a named alternative you accept as a substitute.
Specification floorDrivetrain, gearbox, trim, colour tolerance, must-have options and excluded configurations.
Budget bandTarget range plus a stated ceiling, quoted in USD or EUR.
Mileage ceilingMaximum odometer reading and how much documented service history offsets it.
Delivery hubKyiv, Lviv, Odesa, Dnipro, or an agreed hand-over city.
Decision ownerThe single person authorised to approve or reject a candidate.
TimelineTarget purchase window and any hard deadline you are working to.

Fields the comparison matrix carries

  • Candidate ID and collection date
  • Asking price and currency
  • Price delta against your budget band
  • Mileage delta against your ceiling
  • Registered owner count
  • Service record status
  • Inspection status: pass, warn or fail
  • Inspector reference and inspection date
  • Seller responsiveness score
  • Source label on every cell: inspection, seller or registry
  • Redaction note where a document is withheld

Rejected candidates are not deleted. Each failed check stays in the client file with the reason recorded, and inspectors work as an independent third party rather than as our staff. See how inspection independence works, or send your own brief through the brief form.

04 / Inspector independence

Who signs the inspection report

The inspection is commissioned for you, carried out by an engineer who does not work for pixelorradesign.com, and paid as a flat fee that does not change with the result.

Every line in your file carries a source label: inspection, seller or registry. Anyone reading it can see which claim came from where. The written fee schedule is set out in coverage and fees.

05 / Coverage and fees

City hubs, and a fee schedule fixed before any work starts

We source domestic luxury vehicles across five hubs. Every mandate is priced in writing and agreed before the first seller is contacted. If a step is not needed for your brief, it is removed from the quote.

Hubs we work from

  • KyivDeepest domestic supply. Physical inspections usually booked within four working days.
  • LvivStrong western supply, useful for vehicles registered in the west and for cross-border paperwork.
  • OdesaCoastal stock and port-side handovers, inspected by local third parties.
  • DniproCentral hub covering private listings between Kyiv and the eastern regions.
  • KharkivActive but thinner. Seller response times run longer, so each request is dated and logged.

Fee model

Mandate retainer
A single fixed sum agreed before we contact a seller. It does not move with the price of the car.
Specification comparison
Included in the retainer for up to five candidates per brief.
Seller coordination
Included. Calls, viewings and counter-offers are logged with dates in your file.
Independent inspection
Paid directly to the third-party inspector at a flat rate. We do not mark it up.
Escrow and payment
Quoted separately once a vehicle passes, based on the sale structure.
Delivery handover
Quoted separately by route and city. Optional if you collect the car in person.

Inspectors are third-party contractors and are not employed by us. Their fee is flat and does not change with the result. The inspection report belongs to you.

05 / Questions

What clients ask before signing a sourcing brief

Payment, privacy, documents and the edges of our mandate, answered without the sales gloss. Anything not covered here can go to the brief form.

How is the fee structured, and when is it invoiced?

Fees are quoted in writing before work begins and split by stage: brief and comparison matrix, seller coordination, independent inspection. No commission is tied to the purchase price, so a costlier car does not pay us more. Stopping early invoices only the completed stages.

Do you sell vehicles or act as a dealership?

No. pixelorradesign.com is a concierge and sourcing service. We hold no stock, do not sell vehicles directly, and are not a licensed dealership. The sale contract is between you and the seller, and we are not a party to it.

Who inspects the car, and who owns the report?

An independent third-party inspector who is not employed by us. The inspector is paid a flat fee whatever the outcome, so a failed car earns them nothing extra. The written report is yours and stays in your client file.

What happens to a car that fails inspection?

It stays in the client file with the reason recorded: structural repair, mileage inconsistency, registration mismatch. We do not delete failed candidates or offer them again, so you can see what was considered and why it was set aside.

How are my personal data and documents handled?

Your brief, correspondence and inspection reports sit in one client file, shared only with the inspector and, where a viewing or paperwork step needs it, the seller. We do not sell data. Retention and deletion are described in the privacy policy.

Which hubs do you cover, and what is out of scope?

Seller coordination and inspection run in Kyiv, Lviv, Odesa, Dnipro and Kharkiv; cars elsewhere are assessed case by case. Financing, insurance, customs brokerage and legal advice on ownership disputes sit outside our scope.

Fee stages are documented under coverage and fees; inspection rules under inspector independence.

07 / Begin

The brief comes first. The car comes later.

Send us the make, the budget and the city. You receive a written sourcing brief, a comparison matrix of candidate vehicles, and an independent inspection before anything is paid.

pixelorradesign.com is a sourcing concierge. We do not sell vehicles directly and we are not a licensed dealership. Fees are quoted in writing before work begins, and failed candidates stay in your file with the reason recorded.
